Refund & Cancellation Policies
Member registration: Refund requests must be received in writing no less than 21 days prior to the first day of the conference to be eligible for a partial refund. Refunds, less a $95 administrative fee, will be distributed only to individuals who cancel 21 days or more before the first day of the conference. The refund is reduced by the fee to cover the administrative costs of processing and refunding a registration. No refunds will be distributed for cancellations made less than 21 days prior to the first day of the conference. No refunds or credit will be given for failure to attend, late arrival, no shows, or early departure. Conference registrations are non-transferable.

Non-member registration: Non-members receive AMWA membership with the purchase of their conference registration. If a refund is requested no less than 21 days prior to the first day of the conference, refunds will be distributed back to the original payment method less $294 ($199 for non-refundable annual membership dues and $95 for administrative fees). 

Workshops: AMWA Workshop registrations must be cancelled in writing at least 21 days prior to the first day of the conference to be eligible for a partial refund. AMWA Workshop cancellations or changes made at least 21 days prior to the first day of conference are subject to a $75 fee per workshop. No refunds or credit will be given for failure to attend, no shows, late arrival, or early departure. If an AMWA Workshop is cancelled by AMWA, every effort will be made to notify registrants as soon as possible, and fees will be refunded.

Roundtables/Intensives: A cancellation fee of $20 will be charged for roundtable cancellations/changes made at least 21 days prior to the event. No refunds or credits will be given for cancellations within 21 days of the first day of the conference, or for failure to attend, no shows, late arrival, or early departure.

Discount codes: The use of a promotional discount code is only valid at the time of the initial purchase/registration. Refunds will not be authorized for existing registrations where the special offer was received after the initial purchase. Discount codes cannot be applied to already reduced/discounted registrations. Limit one (1) special offer/discount code per registration.

Registration fees fund AMWA conferences. It is important to set fees that will cover the cost of running the conference and designing a program that will provide the greatest value for a wide variety of attendees. There are no refunds granted for registration fees for any reason after October 3, 2023, including but not limited to, adherence to health and safety requirement mandated by the hotel, local/state jurisdictions and AMWA.  AMWA runs the conference on a tight budget, which means we must keep expenses for food and beverage and other costs at a minimum or the registration rates would be much higher. We provide the host hotel with the number of meals to prepare for these events and print materials before the events based on the number of people registered. If you cancel at the last minute, AMWA is still financially responsible for additional food and conference materials. Therefore, we can’t offer last-minute refunds. We appreciate your understanding.

Health & Safety
While there are currently no Health & Safety protocols in place, in the event protocols are needed, all attendees will be asked to participate in and abide by all safety protocols implemented on-site for the event. We will continue to closely monitor all conditions related to COVID-19 between now and the start of the event and reserve the right to modify health screening protocols in our sole discretion. We will inform you of any such changes and as a condition of participation you agree you will follow these protocols.

While AMWA cannot guarantee that attendees will not become infected with COVID-19, we will comply with all applicable requirements imposed by federal, state, or local health authorities for the locality in which the conference is taking place. However, the responsibility for a safe and healthy event environment is shared among the event organizers, event venues, and event attendees. Conference attendees are expected to comply with all applicable requirements imposed by federal, state, or local health authorities for the locality in which the conference is taking place (https://coronavirus.dc.gov/) and in any locations they visit during transit to and from the meeting. 
You should not attend the meeting if you are experiencing, or within the 10 days prior to the conference or event have experienced, symptoms associated with COVID-19. You also should not attend the meeting if:

  • You believe that you may have been exposed to a confirmed or suspected case of COVID-19 or
  • Have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for your treatment.

Conference/Event Name Badges
All conference attendees must be registered to attend the conference. All registered attendees will receive a conference name badge, which must be worn at all times during the conference and within the conference space. Name badges are nontransferable. If a name badge is lost or misplaced, a replacement badge can be created for $25. Identification will be required. Conference registration includes access to all sessions and group events. Workshops, roundtables, and other ticketed events incur additional fees.

Seating
AMWA encourages attendees to arrive early at education sessions, as seating is on a first-come, first-served basis. If no seating is available in your first-choice session, consider attending another session in the same time period.

Substitutions
AMWA does not allow substitutes for conference registrations. Registration fees cannot be transferred to another person.

Guests
Non-registered individuals, including spouses, friends, or children under the age of 18 are not permitted in AMWA meeting rooms, receptions, or the Exhibit Hall. No one under 21 years of age is permitted at events where alcohol is served.

Consent to Use of Photographic Images
Registration and attendance at, or participation in, AMWA’s Medical Writing & Communication Conference and related events constitutes an agreement by the participant to AMWA’s use and distribution (both now and in the future) of the participant’s image or voice in photographs, videotapes, electronic reproductions, and audiotapes of the conference.
